Managing Sign-Up Sheets

Viewing Sign-Ups

  1. From your Dashboard, navigate to Sign-up Sheets > All Sheets
  2. Hover over and click the View Sign-Ups link

The Sign-ups screen will display all events where somone has already signed up. The details that will show all Tasks/Items, Start Times & End Times for eash Task/Item, The Name(s) of the persons who signed-up and the number of remaining spots to be filled, their eEmail address, their phone number, any Item Details, and the Item Quantity.

While most of this information is for viewing the data, there are a few actions that you can take:

  • Clicking the Email address, should launch your email program on your devise, so that you can send that person an email
  • Clicking in the Phone number may allow your device to place a phone call

The third action you may take is to Clear the item. Clearing removes the volunteer from the event, and reduces the quantity needed by 1 for each volunteer that you clear.

Exporting Sheet Data

Click the Export Sheet as CSV, to download a Comma Separated Values  (CSV) file. This file can commonly be imported into a spreadsheet. This might be useful if you need to print or share a list of all volunteers and tasks in a spreadsheet document.

Editing Sign-Up Sheets

  1. From your Dashboard, navigate to Sign-up Sheets > All Sheets
  2. Hover over and click the Edit Sheet link

This page allows you to edit your Event Details, such as updating the Title, changing the number of days remoinder emails are sent to volunteers, Chariperson’s name and email address and any Program/Event Details or other settings for the Event.

Click the Save Sheet button with you are finished updating your Sign-Up Sheet

Editing Sign-up Sheet Tasks

  1. From your Dashboard, navigate to Sign-up Sheets > All Sheets
  2. Hover over and click the Edit Tasks link

This page allows you to edit your Tasks/Items details, changing the Task/.Item’s name, quantity needed, start and end times and Task/Item details. You can also add or removed Tasks/Items and reorder them as needed. If you are editing a Multi-Day event, you can add or edit dates.

Click on (+) to add additional tasks, or (-) to remove a task. At least one Task/Item must be entered. If # needed is left blank, the value will be set to 1.

Click on (+) to add additional Details text for any Task/Item, or (-) to remove a Details Text. Check the Details Required box if a volunteer MUST enter text in the Details text field when signing up.

Drag and drop to change sort order or Tasks & Items.

Click the Save button with you are finished updating your Sign-Up Sheet Tasks & Items

Moving Tasks

If you have already created other Sign-up Sheets, then you can move Items/Task to other Signup-Sheets. This can be helpful if you are creating a similar event with the same needs as another event and would like to duplicate the Tasks/Items without having to build them from scratch each time.

To move Tasks/Items to another Sign-up Sheet, click the Move button at the bottom of the Edit Tasks screen. The Items/Tasks will be moved and your screen will refresh to the Edit Task page of the destination event. For changes to show, and for new task dates to be updated, you will need to adjust your Tasks/Items as needed and click the Save button.
